What a school management system must have
Choosing a school management system is a decision that stays with the school for many years. This checklist helps you compare options and see what really makes a difference in daily routine.
Finance
Cash flow, accounts payable, debtor control and, ideally, automatic billing. It is the module that weighs most on the school’s health and usually the first to pay off.
Academic life
Report cards, grades, activities and class information, accessible to coordinators and teachers, without rework and without typing the same information twice.
Communication with families
Announcements, notices and campaigns, such as re-enrollment, sent through the channel parents already use. Good communication reduces calls to the school office and improves the relationship with families.
Canteen and school transport
If the school has a canteen, it needs its own cash register and inventory, without mixing with the institution’s accounts. The same goes for school transport: the more integrated it is with the system, the less duplicated information.
Health and sensitive data
Health information and data about minors require care: access by role, a record of who consulted what and LGPD compliance. Ask how the vendor protects this data.
Flexibility
Every school works in its own way. A good system is modular, lets you start with what weighs most and adapts to the institution’s rules, instead of forcing the school to adapt to it.
Questions to ask the vendor
- Can I start with one module and grow later?
- Who owns the data and how is it protected?
- What happens to my data if I want to leave?
- How does support work after the system goes live?
