Custom or off-the-shelf software: how to choose

Published on · 3 min read · By the Ignition team

Every company that wants to organize its operation reaches the same doubt: use ready-made software or build a tailor-made system? There is no single answer, but there are questions that help you decide.

When off-the-shelf software is enough

If your process is common, off-the-shelf software is usually cheaper and faster to start with. For standard tasks, such as issuing invoices or tracking attendance, it is an excellent choice.

When tailor-made pays off

When your process differs from the standard, when you need to bring several areas together, such as finance, inventory, billing and communication, or when the company keeps adapting the business to the system. In those cases, tailor-made avoids patches and rework.

Five questions to decide

  • Is my process the same as most companies in my sector?
  • How many different tools do I need to do the same job?
  • How much time does the team lose moving data from one place to another?
  • Does the ready-made system force me to change how I work?
  • Can I start small and grow?

The middle ground: start with what weighs most

A tailor-made system does not have to start out huge. You can begin with one module, such as billing or inventory, and grow as needed. That way the investment follows the result.

Take care of the data and the exit

In any case, check who owns the data, how backups are made and what happens if you ever want to change vendors. A good partner answers these questions plainly.
